Job Title: House Manager
Location: Gates Mills, OH 44040
Employment Type: Full-time, 40 hours per week
Schedule: Monday–Friday, 8:00 AM–4:00 PM (Flexibility required for occasional travel support or evening needs)
Compensation: $25-$30 per hour
Start Date: June 1, 2026

Requirements:

  • Maintain a smoke-free environment.
  • Reliable transportation is required with mileage reimbursement for work-related driving, such as school pick-ups, errands, and appointments.
  • Must have routine vaccines.
  • CPR certification or willingness to obtain.
  • Comfortable around dogs and cats.
  • Ability to work in a home with active renovation projects (contractors on-site periodically through the end of the year).
  • Comfortable around water and supervising children around water
  • Ideally within a 20-minute drive to the family's home to accommodate weather-related challenges in the winter months.

About Our Family:

We are a warm, close-knit family who values kindness, collaboration, and mutual support. We live in the Greater Cleveland area and are excited to be moving to a larger home in Gates Mills on June 1st, where we'll have the space to truly make it our own. Our family includes three children—an energetic toddler and two lively school-aged kids—along with our pets, including a dog and a cat.

As we make this big move, we are looking for a house manager who can join us on this new chapter and help us create a calm, well-organized home. The new house offers ample space, both inside and out, and we're eager for someone who will help us set up efficient systems that allow everything to run smoothly. We want someone who is not only highly organized but also someone who will truly feel like part of the family—someone who values our dynamic and is eager to work alongside us in a supportive, collaborative environment.

Our family has a busy, ever-changing schedule with travel, school, and various activities, so we are looking for someone who can keep everything in order while ensuring our home remains a welcoming space.   • Capable of managing multiple tasks, including childcare support, transportation, household management, and meal assistance.
  • Comfortable working in a busy environment and flexible to adjust as family needs evolve.
  • Able to take initiative and show leadership in creating a calm, well-run home.
  • Comfortable being a part of a family dynamic that includes children, pets, and occasional houseguests.

Key Responsibilities:

Household Organization & Maintenance

  • Create and maintain household organization systems (closets, pantry, toys, etc.).
  • Tidy rooms daily and prep areas for cleaning services.
  • Oversee household schedules and calendars.
  • Manage seasonal swaps (clothing, décor, bedding).
  • Prepare for family events, holidays, and guest stays.
  • Coordinate donation drop-offs and pickups.
  • Supervise or coordinate with service providers/vendors (e.g., handymen, cleaners).

Laundry & Linen Care

  • Wash, dry, fold, and organize family laundry (children's and adults' clothing).
  • Iron, steam, and prepare outfits as needed.
  • Rotate bedding, refresh towels, and restock linen essentials.
  • Maintain tidy laundry areas and ensure supplies are well-stocked.

Inventory Management & Errands

  • Restock pantry, fridge, toiletries, and household supplies.
  • Create and manage household supply lists.
  • Coordinate and manage household orders (Amazon, Instacart, Target).
  • Run errands (e.g., grocery shopping, returns, dry cleaning, gift shopping).
  • Handle package pickup, mail sorting, and deliveries.

Meal Planning & Preparation

  • Plan and prep healthy meals/snacks for the family (simple meals, cutting fruits and veggies).
  • Prepare 2-3 dinners a week, with flexibility for additional meal prep as needed.
  • Pack school lunches and batch-cook weekly meals.
  • Clean kitchen after meal prep and ensure kitchen tidiness.
  • Shop for groceries, following dietary preferences (dairy-free, healthy food choices).

Pet Care

  • Feed and walk dogs; manage care for other pets as needed.
  • Schedule and coordinate vet, grooming
  • Administer medications if required.
  • Keep pet supplies stocked and organized.

Vehicle Management

  • Coordinate vehicle maintenance (oil changes, inspections, etc.).
  • Ensure vehicles are fueled, cleaned, and organized.

Vendor & Property Oversight

  • Schedule and supervise service providers (cleaners, contractors, landscapers).
  • Coordinate repairs, maintenance, and quotes.
  • Oversee outdoor spaces and seasonal maintenance needs, so the spaces are usable
  • Serve as primary contact for vendors or guests.

Family Support & Child Assistance

  • Manage transportation for kids to/from school, camps, and activities.
  • Provide light supervision, playtime, or backup childcare as needed.
  • Prep backpacks, clothing, and snacks for school.
  • Assist with child-related laundry and errands.

Deep Cleaning & Special Projects

  • Tackle deep cleans, especially in the kitchen (i.e. maintaining microwave, stove, dishwasher, and fridge)
  • Maintain and refresh specific zones (entryways, garage, mudroom).
  • Organize special projects (toy storage, seasonal decorations, gear rotation).

Administrative & Personal Assistant Support

  • Help with travel planning, scheduling, and logistics.
  • Manage family calendars and reminders.
  • Assist with event and guest preparation.
