The Recruiting Coordinator serves as a highly organized and proactive member of the Talent Acquisition team in New York City, acting as the central hub of the hiring process and the primary liaison between candidates, recruiters, and hiring managers. This individual must thrive in fast-paced environments, enjoy solving logistical puzzles, and maintain a steadfast commitment to delivering a world-class candidate experience. The role requires a professional who can balance administrative precision with a warm interpersonal touch to ensure every applicant feels valued throughout the journey.
Key responsibilities include managing the logistics of high-volume scheduling across multiple time zones for phone, video, and in-person interviews to ensure a seamless experience for all parties involved. As the primary point of contact for applicants, the individual in this role provides professional and timely communication and status updates. Data integrity is a critical component of the position, requiring the Coordinator to maintain the Workday Applicant Tracking System to ensure job postings and candidate records are accurate for reporting and process optimization. Beyond scheduling, the position involves preparing recruitment materials, tracking candidate progress, and assisting with team projects to keep the talent strategy competitive.
The ideal applicant possesses a Bachelor’s degree and one to three years of experience in recruitment coordination, human resources, or administrative support. Technical proficiency is essential, specifically within Google Workspace, while previous experience with Workday and GoodTime is considered a significant asset. The Coordinator must demonstrate exceptional time management and attention to detail, with the ability to prioritize tasks effectively in a multi-tasking environment. Finally, the candidate must be resourceful and proactive, identifying workflow challenges and implementing solutions swiftly under pressure. This is a hybrid role based in the New York City office, requiring two days of onsite collaboration per week.

Key Responsibilities - Interview Coordination: The Coordinator manages high-volume scheduling, overseeing complex calendars across multiple time zones for phone, video, and in-person interviews.
- Candidate Experience: The individual in this role serves as the primary point of contact for applicants, providing professional and timely communication and status updates throughout the hiring journey.
- ATS & Data Management: The Coordinator maintains data integrity within Workday, ensuring job postings and candidate records are accurate for reporting and process optimization.
- Administrative Support: This position involves preparing recruitment materials, including interview prep documents, training decks, and presentation modules.
- Recruiting Assistance: The Coordinator partners with recruiters and hiring managers to track candidate progress and ensure meticulous follow-up through the selection funnel.
- Team Coordination: The candidate organizes team meetings, manages minutes, and executes ad hoc projects to improve team efficiency and market strategy.
